Clinical Scheduling Assistant - Bilingual

Our roots began in 1981 as the Montrose Clinic, with specialization in HIV education, testing, and treatment. Since then, the agency has expanded to 10 clinics in Houston, one in Baytown, two in Beaumont, and one in Deer Park with extensive services that include: Adult primary care, HIV/AIDS care, pediatrics, OB/GYN and maternity, dental, vision and behavioral health. Job Description

The Clinical Scheduling Assistant at Legacy Community Health (“Legacy”) is responsible for monitoring provider schedules to provide consistency in scheduling guidelines and the optimization of schedules based on clinic flow. This includes operating Legacy’s electronic health record system (“EHRS”) to monitor the flow of patients and working with provider staff to keep clinic flow optimal, along with communication with providers, staff and patients to facilitate the access of patient care at Legacy.

Essential Functions

  • Works with Front Desk staff, Lead Medical Assistants (MA), Clinical team (Provider and MA), Care Team Assistants (CTA), patients, scheduling staff at Legacy Contact Center, and possibly hospital patient navigators to monitor overall flow to optimize the provider schedules in real time.
  • Coordinates and initiates communication regarding day-to-day scheduling and real-time patient scheduling following guidelines established by Legacy Community Health.
  • Helps to investigate scheduling mistakes, elevates repeated mistakes to the appropriate individuals.
  • Takes action to manage scheduling issues in various scenarios, moves patients in schedules as indicated.
  • Uses lists below to schedule same day or next day appointments.
    • wait lists for established patients – WWE, Procedures
    • Wait lists for new patients, new Initial Maternities,
    • Call back reports (Out of care and/or Uncontrolled Disease State lists)
    • Wait lists for Chronic Disease Management ie HIV
  • In consultation with clinical team, takes action with patients who may need expedited scheduling due to illness.
  • Works with Site Leadership to keep a list of all per diems, locums’ tenens and alternative providers that may be able to cover needed shifts.
  • Work to expedite appropriate scheduling of walk-in patients including newborns.
  • Serves as point of contact for the Contact Center staff for working in patients for same day visits.
  • Assists with reminder calls as needed
  • Assists with managing portal messages for the site for which they are assigned
  • Updates patient registration information as needed including the responsible provider, demographic information, pharmacy information, etc
  • Attend trainings as requested and/or required by Legacy and quickly assimilate new knowledge into processes and procedures.
  • Performs other duties as assigned.

Education & Training Requirements

  • High School Diploma
  • Medical Assistant-Certified or EHRS medical documentation training
  • Ability to meet Legacy Community Health’s EPIC proficiency requirements
